BOOKED ONLINE CONSULTATIONS

Connect an online consultation booking to its meeting entrance

Mark the relevant services as online consultations. A confirmed booking can create its own room and queue a joining invitation for the customer’s email address.

Make joining part of the appointment preparation

Booking a consultation and obtaining its meeting link should belong to the same working arrangement. Tsumira Video listens for confirmed appointments for the services selected as online consultations. It creates a room associated with the appointment and prepares the customer’s joining invitation. The relationship is specific: an ordinary in-person service does not need to become a video meeting merely because someone booked it.

Enable video for the right services

Choose the service IDs that represent online consultations in the video settings. When the confirmed-booking event for one of those services is processed, the room keeps the appointment association, customer-based title and scheduled start. Repeated processing of the same appointment does not create a second independent room. The service selection lets a business mix in-person and remote offers deliberately.

  • Selected consultation services
  • Room associated with the appointment
  • Repeated appointment processing avoids duplicate rooms

Prepare the customer entrance

The customer invitation contains the meeting time and a joining link. Mail uses the configured delivery workflow, so processing and transport availability matter; it is not a guarantee of instantaneous inbox arrival. A phone-only booking can still have its room, but there is no email address to receive the invitation. The team must share the entrance through a suitable supported communication step.

  • Appointment time in the invitation
  • Customer-specific joining link
  • Email delivery only where an address exists

A queued invitation is not an inbox receipt

Cancellation and the meeting lifecycle remain connected through the event workflow.

Keep cancellation and admission coherent

Cancellation of the associated appointment ends the corresponding meeting through the event workflow. Join credentials are tied to the room’s lifecycle, and ended rooms do not admit a new live session. While a room is live, the customer’s link is reusable so a dropped connection does not require a brand-new invitation. Treat that link as an entrance credential and share it only with the intended participant.

  • Appointment cancellation connected to room ending
  • Reusable live-room entrance for reconnection
  • Ended-room state blocks a new live join
A concrete workflow
  1. Select the online service

Configure the services that should create a video consultation instead of applying video to every booking.

  2. Confirm the appointment

The customer books an available slot and the booking confirmation enters the event workflow.

  3. Prepare the entrance

The room is associated with the appointment and the joining email is queued when an address exists.

  4. Meet or cancel appropriately

Join at the agreed time; a cancelled appointment ends its associated consultation room.

An illustrative working example

Example: remote preparation before a site visit

A technical services business offers a remote preparation consultation alongside in-person site visits. Only the remote service is selected for video. A customer books the preparation slot with an email address and receives the joining invitation through configured delivery. An ordinary site-visit booking does not create an unnecessary room. If the remote appointment is cancelled, its linked room is ended through the same operational flow.

Questions about this topic

Does every service automatically create a room?

No. Room creation is limited to the services selected in the video settings.

Is the invitation guaranteed to arrive immediately?

No. The event worker and configured mail delivery must process it. An accepted booking is not proof of inbox delivery.

What about a booking without an email address?

The room can be created, but an email cannot be sent without an address. The team must share the entrance through another suitable step.

Can a customer reconnect using the same link?

Yes, while the room remains live. The credential is intentionally not single-use; ending the room prevents further live admission.
