PDF and Office previews
Read useful document content without leaving the file conversation.
Preview PDF pages, DOCX text and tables, and a bounded XLSX table with saved formula values while retaining the downloadable original.
The preview answers a reading question, not every editing need.
A filename rarely tells the whole story before a customer call. Drive previews supported material beside the work so a colleague can inspect the contents. The representation is deliberately limited. It does not promise complete Microsoft Office fidelity, editable spreadsheets or the ability to run formulas, macros and embedded content inside the workspace.
See PDF pages and readable Word content.
PDF is rendered as pages in the viewer. For DOCX, the preview extracts text and tables rather than reconstructing the full document layout. That is useful for checking wording and basic information. If pagination, exact positioning or complex layout matters to your decision, download the original and inspect it in the appropriate application.

Read Excel values without recalculating the workbook.
XLSX previews show a bounded table view, including saved formula results when present. Formulas are not evaluated. Large or complex workbooks can be truncated by the preview limits, so a visible table is not a complete workbook audit. Use the original when reviewing calculations, hidden workbook structure or full accounting content.
- Bounded tables and cached formula results
Keep the original and its access boundary.
The original file remains available to authorized users for download. Older DOC and XLS formats use download instead of the newer Office preview. Viewing a preview still requires file access, including folder permissions. Sharing a preview externally happens through a specific version link, not by opening the internal conversation or granting general workspace access.
- Original download under the same file access
A concrete workflow
Open
Choose the file version relevant to the decision or discussion.
Inspect
Read supported content and notice any preview limitation.
Verify
Download the original when full layout or calculation review matters.
Discuss
Keep the review reasoning in the file's internal conversation.
An illustrative working example
Illustrative scenario: checking a proposal budget
An account colleague opens an XLSX budget before a customer discussion. The bounded preview helps locate the saved totals and relevant rows. Because a decision depends on the calculation, the reviewer downloads the original to check the workbook in its specialist application. The internal file conversation records the question and conclusion. The client later receives a reviewed version, not an assumption that the preview recalculated every figure.
Questions about this topic
Can I edit the spreadsheet in Drive?
No. The preview is read-only. Use the appropriate application for edits and upload the reviewed result as a new version when needed.
Are formulas recalculated?
No. XLSX preview reads saved formula values and does not execute the formulas. Verify calculation-dependent decisions using the original workbook.
Is the Word layout identical to Office?
No complete fidelity is promised. DOCX shows text and tables; inspect the original if detailed layout is important.
What about older formats and large documents?
DOC and XLS can be downloaded. Office previews have bounds and may be shortened or unavailable even when an authorized original download is possible.

Microsoft Excel
Application concept: Choose an Excel budget example to test the read-only XLSX preview against stored values and the original workbook.
Google Docs
Application concept: Plan a document export check so Google Docs material is reviewed in a supported file format before handover.
SharePoint Online (v2)
Application concept: Select representative SharePoint PDFs to evaluate page previews without assuming a full Office editing experience.
