AI with business record context

Ask about the work you are actually looking at.

Use the current record's readable fields and conversation for a focused summary or question instead of assuming unrestricted company-wide memory.

Context is valuable when its boundaries are understandable.

A question about a customer request should refer to that request, not a generic answer detached from the work. Record assistance uses the record's inspector information and its readable communication to summarize its state or answer a focused question. This bounded scope is intentional. The assistant does not automatically know every related project, private mailbox, external document or earlier business decision.

Start with the current record's own information.

Open the relevant customer or supported business record and inspect its fields. Ask what has been decided, what remains open or what a recent message means within that record. Names, status and dates are only as reliable as the underlying information. A service duration or price matters only when the relevant source is available and actually belongs to the question; context should not become a guess based on a similar label.

  • Focused questions grounded in the record's fields

Use the readable conversation without inventing missing history.

Recent conversation can explain why the current state exists. The assistant loads it through the same permission-aware module paths used by the screen. Context is bounded, so a long history may not be included in full. An unavailable conversation is not an empty one. If only field information is available, the answer should not imply that nobody discussed the case or that the absent conversation contains no important decision.

Choose a broader tool only when the question requires it.

A record summary and a cross-module question are different tasks. Use supported search or broader assistant tools when the work genuinely needs another source, then check that source's permissions and actual result. Merely opening a record does not grant access to all associated material. Linking a file or identifying a customer is contextual organization, not automatic sharing of their private documents or personal correspondence.

  • Bounded record assistance distinct from authorized cross-module search
A concrete workflow
  1. Open record

Choose the actual record rather than a similar name.

  2. Check sources

Inspect fields and whether the conversation is available.

  3. Ask narrowly

Request a summary or specific answer within that context.

  4. Verify detail

Read original information before relying on a commitment.

An illustrative working example

Illustrative scenario: understanding a paused request

A colleague opens a customer request marked waiting and asks for a concise status. The readable recent exchange shows that the team needs a revised specification. The assistant summarizes that dependency, but does not claim to know a private email exchange outside the record. The colleague opens the original message, verifies the requested document and prepares a follow-up. The trial also checks a record whose conversation is unavailable, ensuring missing context is not described as no communication.

Questions about this topic

Does record assistance read the whole workspace?

No. Its context is the record's own permitted fields and bounded recent conversation.

Is an unavailable conversation the same as empty?

No. Missing access or an unavailable source must not be interpreted as proof that no discussion occurred.

Does a customer link open private documents?

No. Associations do not replace document or mailbox permissions.

Can I ask a broader question?

Use the supported broader tools when available, with their own source and permission boundaries.
