Switching and alternatives

SWITCHING GUIDE

A Teamleader alternative needs a clear quotation, time and finance boundary

Plan the move around open quotations, active engagements and unbilled work. Evaluate Tsumira’s customer and project scope without losing the financial process that your business requires.

Start from work that is already in progress

An alternative is easier to discuss than an unfinished client engagement. Before changing software, identify proposals awaiting a response, accepted work, time already recorded and invoices still needing attention. Assign an owner to each category. The transition plan should explain how the customer relationship continues even if only part of the operational workflow is being changed.

A concrete workflow

  1. List the unfinished commitments

Capture open quotations, accepted scope, active work, recorded effort and unpaid items. Give each list a responsible owner.

  2. Pilot one engagement

Prepare customer data and a clear project brief. Preserve access to original agreements and decide where new work is maintained.

  3. Review the commercial result

Check project continuity and all remaining finance duties. Expand only the demonstrated scope and keep the rest explicitly owned.

Inventory the commercial commitments

For every active engagement, record the customer, agreed scope, status, responsible person and the location of the authoritative proposal. Preserve original documents and the information your team needs to explain subsequent changes. A record copied into another tool does not itself transfer contractual meaning or show that a customer accepted a revision. Keep the evidence accessible to the people who need it.

  • Separate draft quotations from agreed work.
  • Identify unbilled time and open invoice responsibilities.

Choose a project pilot without rewriting history

Tsumira can be evaluated around customer context, project tasks, communication and time. Use one engagement whose current scope is understood. Define how existing time and historical commercial references remain available; do not invent an automatic project or invoice migration. Companies, contacts and opportunities have CSV import paths, while other record categories require a separate verified method or an agreed retained reference.

  • Create a mapping for the limited customer sample.
  • Agree where new time and project changes are recorded.

Treat local invoicing as an independent decision

Tsumira finance currently uses whole JPY and Japanese consumption tax. It is not established as a replacement for EUR billing, German accounting, DATEV, GoBD, XRechnung or ZUGFeRD. If these are mandatory, keep an appropriate finance system operating and define the manual responsibilities for any handover. No automatic connector is promised here. A good project pilot does not remove that financial boundary.

  • Let the finance owner approve the retained process.
  • Reconcile outstanding work before any subscription decision.

An illustrative working example

Illustrative transition: one active consulting engagement

A consultancy wants clearer project conversations but has accepted quotations and unbilled time in its existing process. It pilots one understood engagement in Tsumira while keeping financial records and invoice preparation in the qualified system. The final review checks both the team’s work and the outstanding commercial responsibilities. A visually complete project is not treated as evidence that historical billing moved correctly.

Questions about this topic

Should we copy every old quotation into a new record?

Not automatically. Decide which originals must remain accessible and how current projects reference them. Preserve meaning and evidence rather than creating duplicate documents that appear equally authoritative.

Can recorded time and invoices be migrated automatically?

No universal migration is promised. Assess each record category, its relationships and reconciliation needs. Keep historical references in an agreed location if a verified transfer method is not available.

Can Tsumira replace our German billing today?

That is not established. Its current JPY and Japanese-tax implementation must be respected. Required German accounting or invoicing formats need a separate supported solution and explicit responsibility.

What should a service-business pilot demonstrate?

The team understands the agreed scope, finds the customer context, organizes the work and explains what happens to recorded effort and financial obligations. Unresolved commercial duties remain visible.
