Switching and alternatives

SWITCHING GUIDE

Considering a HubSpot alternative? Plan the customer-data handover

Separate marketing continuity from CRM and project changes. Prepare contact ownership, communication history and an evidence-based pilot before replacing parts of the customer workflow.

Describe the reason for switching in operational terms

A request for an alternative can mean an administration problem, an unsuitable delivery workflow or a changing budget. Those are different projects. Write a short problem statement and identify the people affected. Do not let a desire to simplify tools erase campaigns, customer follow-ups or service responsibilities that currently work and must continue.

A concrete workflow

  1. Define the change

Choose a problem such as the handover from sales to delivery. Keep unrelated marketing and service replacements outside the first test.

  2. Map and inspect a sample

Prepare companies, contacts and opportunities. Reconcile the imported sample and verify that historical context remains accessible.

  3. Test continuity

Run one customer case without duplicate outreach. Review ownership, actual work and unresolved dependencies before expanding or retaining the existing setup.

Map the customer journey before selecting records

Inventory the work surrounding a contact: acquisition source, current owner, lifecycle meaning, open promises, service commitments and related delivery. Decide which information is necessary for the proposed Tsumira scope and which remains in the current system. Keep marketing operations separate if their required behavior has not been demonstrated. A contact list alone is not the complete customer journey.

  • Name owners for acquisition, sales and delivery.
  • Record active commitments before any cutover.

Prepare a clean and limited CRM sample

Tsumira provides CSV import paths for companies, contacts and opportunities. Build a field mapping and check organizational relationships on a small representative set. Preserve communication history, attachments and any required usage or permission evidence in an agreed accessible location. Do not assume campaign history, workflow definitions or email behavior can be recreated through a generic customer import.

  • Check duplicates, company links and responsible people.
  • Classify data that has no verified import path.

Keep live communication under one clear owner

During a pilot, decide where follow-ups and customer responses are handled. Avoid sending the same message from two systems or leaving a service queue unowned. Use Tsumira to test the intended customer-to-project handover with real permissions; proposed AI actions need review before execution. Stop expansion if the team cannot identify the authoritative customer record or the person responsible for replying.

  • Set the source of truth for each active record.
  • Document a return path if the pilot is stopped.

An illustrative working example

Illustrative transition: preserve campaigns, pilot delivery

A consultancy wants project staff to understand customer context more easily. It keeps its active campaigns running in their established system while testing a selected engagement in Tsumira. A written ownership plan says where the contact is updated and who replies to the customer. The trial evaluates the delivery handover, not an unverified replacement of campaign execution or marketing measurement.

Questions about this topic

Should we cancel the current subscription before a pilot?

Plan access, renewal timing and continuity first. Do not remove an essential capability or historical reference merely because the new customer sample imported successfully. A subscription decision should follow the operational review.

Are campaigns part of a CRM CSV import?

No such transfer is promised. The supported company, contact and opportunity paths do not establish migration of campaign logic, history or associated behavior. Treat those as separate dependencies.

What about permissions and approved communication purposes?

Have the responsible people review access and the intended use of transferred information. Preserve the evidence your organization needs. A migration should not broaden access or silently change who may contact a customer.

What should the pilot prove?

A receiving team can find the right customer context, perform its agreed work and explain ownership of updates and replies. It should also identify the capabilities deliberately left in the existing system.
